Collections & records
Collections are the built-in database of your site. A collection holds records — structured entries like products, bookings, menu items or form submissions.
Create a collection
- Open your site and click Collections, then Create collection.
- Give it a name, for example
Products. - Save. The collection is ready to hold records.
Add records
Open a collection and click New record. A record is a flexible set of fields — you decide what goes in, for example:
{
"title": "Iced Latte",
"price": "12.90",
"available": true
}
Records can be created here in the dashboard, by visitors through your site's forms, or by your AI assistant.
Access rules
Each collection has rules controlling what visitors can do:
- public — anyone can read the records
- authenticated — only logged-in visitors can read
- Owner — each logged-in visitor reads and writes only their own rows
- Members — only logged-in members with an active entitlement can read
- private — only you (and your collaborators) can read
Write access is always yours unless you allow visitors to submit — useful for contact forms and orders. Change rules with the Edit button on a collection.
When you set Write to Owner, you can also tick One row per visitor so each visitor has exactly one row that updates on resubmission instead of piling up new rows.
Recipe: a classroom assignment (one submission per student)
- Turn on visitor login (site Auth page) so students have accounts.
- Create a collection
submissionsand set Read = Owner, Write = Owner, One row per visitor. - Give teachers the admin role (Users list) so they can see every student's row from a code page built with the SDK's admin record methods.
- Build the submission page with your AI assistant. Optionally add a notification rule to email the teacher on each submission.
Each submission counts toward your plan's total-entries limit, so size the plan for your class size.
Notifications (optional)
Collections can trigger emails and webhooks when records are created — see the site's Notifications page.
Export
Use the Export button to download a collection as CSV for spreadsheets.
